Pastoral Team

The Pastoral Team setting controls who has access to confidential student information. This ensures sensitive pastoral data is only visible to those who need it.

Why It Matters

In any church, there are situations that require confidentiality:

  • A student going through a personal crisis
  • Confidential prayer requests
  • Sensitive pastoral-care situations

Apostolic Path provides layered access control to protect this information while still allowing the right people to provide support.

Access Levels

Designating Pastors

  1. Navigate to Settings > Pastoral Team
  2. Click Add Pastor
  3. Select a user from your team
  4. Click Save

Users designated as pastors will have full visibility into all student flags, including confidential Pastoral Care flags.

Granting Confidential Access

For team members who need to see sensitive (but not fully confidential) information:

  1. Navigate to Settings > Pastoral Team
  2. In the Confidential Access section, click Add User
  3. Select the team member
  4. Click Save

Removing Access

To remove someone's pastoral or confidential access:

  1. Navigate to Settings > Pastoral Team
  2. Find the user in the appropriate list
  3. Click Remove
  4. Their access will be updated immediately

Only Admins can modify the pastoral team configuration. This is intentional to prevent unauthorized access to sensitive data.

Best Practices

  • Keep the pastoral team small — only designate people who genuinely need access to confidential information
  • Review the pastoral team list regularly to ensure it's up to date
  • Use Confidential Access for associate pastors or ministry leaders who need visibility into prayer requests without full pastoral access
  • Use Pastoral Care flags for truly sensitive situations that should only be visible to the senior pastor(s)
